Running your business is a lot like driving your car. Probably, nothing will happen to you if you don’t wear your seatbelt, or if you talk on your cell. But on those rare, important occasions when you get checked out, your life will be a little easier if you are doing everything right. It is EASY to do things correctly… you just need to know what “correctly” means for a business.
In running your business, here are five of the biggest mistakes I see people make over and over:
1. Get Everything Stamped!
Learn from so many who have been burned… always take that extra minute to make a copy of any form you give to the VI government and get the copy stamped when you pay. The government will, in many cases, ONLY accept this stamped copy as proof of payment. Amazingly, this stamped copy has even more weight than a cancelled check.
2. Post Your Business License
One inch of tape holding up your business license in a conspicuous place can save you a quick $100. It's not a major amount of money, but your business will absolutely be checked on at some point. Hang it up and avoid the fine and the trouble.
3. Apply EARLY For Your Business License Renewal
We all know it takes a while to get your business license the first time, but the license expires every 12 months and sometimes it takes even longer to get your renewal. Apply at least FIVE WEEKS in advance of the expiration to give the DLCA a big head start on collecting paperwork from all the government agencies they need to contact. Check back often, and if they get hung up you will always have time to contact the other agencies yourself before your license expires.
4. Watch Your Gross Receipts
Remember that the Virgin Islands charges 4% of the TOTAL money you take in. It’s like a hidden sales tax, so don’t be afraid to pass it on to your customers. Also, read the back of the form (720VI, or 720B if you file yearly) because you get several reasons to take exemptions. Last, and maybe most important, the first time you realize you are going to go over $120K in a year, you need to start paying this tax on a monthly basis or you will be in for some nasty penalties and interest.
5. Get Your Fire Inspection
To avoid getting a scary letter in the mail informing you your business license is going to be suspended until you get a fire inspection, get in touch with the VI Fire Service. The inspections are $100 or $200 per year, depending on your business. And they are easy to pass—just have a full-sized fire extinguisher, posted Exit signs (with an exit plan, if needed), and a working smoke detector. In some cases, you can skip the inspection but you need to fill out and sign an affidavit. Your local fire station can help you decide what you need.
If you follow these little, simple guidelines, you will be way ahead of most of the business owners in the Virgin Islands. In my experience, I have found them to be the quickest, easiest things to do to avoid trouble – these take maybe five to ten minutes each.
